# Your artists

# Your artists

Your artists is your organization's own record of the people you work with. Every row belongs to you. Someone who applied to one of your programs, an artist you added by hand, a spreadsheet you imported: they all land here, alongside whatever Artsume already knows about them.

The list runs wider than the people who track you. An artist who tracks your organization does show up, but so does a painter who has never heard of Artsume and only exists here because you typed their email in.

Open **Your artists** from your organization's left rail.

## Who lands here, and what "linked" means

Artists join your list when they apply to one of your programs, when you add them yourself, or when you import them. A record is **linked** when it is matched to that person's Artsume account. That match is where their practice, career stage, and location come from, and it is what makes messaging them on Artsume possible. People who are not on Artsume still hold a record here. You can email them, and invite them from their record.

Adding someone is quiet record-keeping. It tells them nothing.

Arts professionals sit in this list too. Curators, jurors, and administrators hold Artsume accounts like artists do, and a record here can point at any of them.

## Tracking, connecting, and your watchlist

Three different things describe your relationship with a person, and it is worth keeping them apart:

- **Tracking** is one-way and instant. When someone tracks your organization they hear about your news, and nobody approves anything. Because it points one way, the direction matters: a person who tracks you reads as **Tracks you** here.
- **Connected** is mutual. Both sides agree. It is what lets the two of you message each other. It hands over no contact details: an artist's email and phone follow their own visibility settings, and an application gives you a snapshot of theirs from the day they applied.
- Your **Watchlist** is neither. It is a private mark on your own record, and the artist is never told. The verb pair is **Watch** and **Watching**.

The Relationship column shows one fact per row, and Connected wins when both are true. Saying "Connected" and "Tracks you" in the same cell tells you nothing new.

## Find the right people fast

The page stacks several ways to narrow the list. They combine, so you can pick a segment, then a filter, then sort.

### Segments

A strip of segments runs above the table, each with a live count:

- **All**: everyone in your artists
- **Applicants**: anyone who has applied to one of your programs
- **Connected**: people you and they have both agreed to connect with
- **Tracks you**: people tracking your organization
- **Watchlist**: anyone you are watching
- **Ready to re-engage**: people you have not touched in over 90 days
- **Arts professionals**: the curators, jurors, and administrators in your list

The first four always show. After that, a segment tucks under a **More** menu while its count is zero and it is not the segment you are looking at. A segment's own count is the only thing that can move it, so the strip does not shuffle while you work.

### Lists

The rail carries your **Lists** card. A list is a group you name and fill yourself: "2026 finalists," "local sculptors," a shortlist for a show. Use **New list** to create one, and drop people in from the selection bar.

**Smart lists** are the rule-based kind: you describe who belongs and the list keeps itself current. Smart lists are part of Artsume Intelligence. Manual lists are free.

**Export list** sits inside a list you have opened. It is the one place in the product that exports other people's data, on purpose, and it is part of Artsume Intelligence. See [Organization plans](/docs/organization-plans).

### Filters and saved views

**Filters** opens one dialog covering six filters: **Discipline**, **Career stage**, **Location**, **Score**, **Last touch**, and **Tags**. Each is a checkbox list with counts, and your choices live in the URL, so a filtered view is a link you can send a teammate.

Once you have a combination worth keeping, save it under **Views** and return to it in one step.

### Search and Ask

The command row keeps searching and asking apart, so you always know which one is about to happen. **Search** owns the field and matches as you type. **Ask** is its own button: it takes a plain question ("artists I haven't contacted in 90+ days," "top-rated sculptors"), reads it into filters, and shows the matching people along with how it understood you. Ask is part of Artsume Intelligence.

### The table

Rows list under four columns: **Artist**, **What they do**, **Relationship**, and **Last touch**. Sort by artist name or last touch from the column headers. Selecting a row opens that person's record.

Next to each name is a **heart**. Tap it to add or remove someone from your Watchlist. The artist never sees it.

## The rail

Five cards run alongside the table, top to bottom:

- **Intelligence**: a short written read on the shape of your list, with action chips that jump to a relevant segment, and a **Composition** breakdown across career stage. Refresh it, or **Hide** it for the session. Part of Artsume Intelligence.
- **Snapshot**: how many people hold accounts, how many are connected, how many track you, and how many you added this month.
- **Needs your attention**: what is waiting on you, most often CV credits someone has claimed against your organization. It renders nothing when there is nothing to do.
- **Lists**: your lists, and the way into a list's export.
- **Recent activity**: the newest activity from your artists, with a link through to your organization's Feed.

## Open a record

Select any row to open a panel from the right. The identity appears at once and the rest loads in. It has four tabs, **Overview**, **CV**, **Activity**, and **Messages**, and from here you can:

- **Message** them on Artsume. An existing conversation opens; otherwise this starts one, though some people accept a message request first. For someone who is not on Artsume, this falls back to email. See [Messaging](/docs/messaging).
- **Email** them directly, or **Invite** them to Artsume.
- Jump to their public **Profile**.
- Read their contact details, **Tags**, **Notes**, and the **Lists** they are on. Notes live on Overview rather than behind a tab of their own.
- Read their **Activity**: every interaction between your organization and them, including their application history.

## Review CV credits

When someone lists a credit tied to your organization (a residency, an exhibition, an award), you review it on the **CV** tab of their record.

Requests they sent you sit pinned at the top under **Confirmation requests**, with **Confirm** and **Decline**. Below them, every credit that names your organization carries a status badge. A credit nobody has looked at reads **Unreviewed**, and you can:

- **Verify** it, and it reads **Verified**.
- **Dispute** it with a reason, and it reads **Disputed**.
- **Dismiss** it to set it aside as **Dismissed**.

You can also propose a CV line yourself, giving someone a credit they have not listed. It reads **Awaiting artist** until they accept or decline. **Verify all** appears at the top of the tab once two or more rows are unreviewed, and clears them in one batch. Disputes go one at a time, since each needs its own reason.

## Act on many at once

Select rows with the checkboxes, or select all from the header. A bar appears at the bottom of the screen with your count and two actions:

- **Add to list**: drop them into a new or existing list
- **Send broadcast**: message the whole selection at once. See [Send to many](/docs/send-to-many).

To export, add the selection to a list and export the list.

Both actions are part of Artsume Intelligence. On the free Artsume Network plan, **Add to list** is disabled and explains why. **Send broadcast** opens the composer and offers the upgrade.

## Add and import

Both live under the **Add** menu in the page header, beside **Payments** and **Invite artists**.

### Add one person

Choose **Add artist**. Email is the only required field. First name, last name, phone, location, website, tags, and an internal note are optional.

### Import in bulk

Choose **Import** to bring in many at once. Two sources:

1. **A file.** Drag in a CSV or Excel file. Columns are matched for you, at no cost on any plan, and rows are de-duplicated against people you already have.
2. **Sync from Airtable.** Pull a table with a personal access token, a base ID, and a table name. Your token is used for that one import and is never stored.

Importing is silent. Nobody you import is notified, and importing starts no tracking. You do not need to import your own past applicants: an application links its applicant to your list on its own.

## Payments

**Payments** in the page header opens the money side of your artist relationships, at four tabs:

- **Overview**: your recent payments at a glance.
- **Payments received**: application fees artists have paid you. Admins and owners can issue a refund from here.
- **Payment owed**: fees still outstanding, with **Request payment** on each row.
- **Fee waivers**: requests to waive an entry fee, which you approve or reject.

## Who can open Your artists

Your artists is open to **Staff** and above: owners, admins, and staff. Reviewers do not see it, and the same floor covers Payments. To manage who holds which role, see [Team collaboration](/docs/team-collaboration).

## Frequently Asked Questions

**Q: Does adding someone to Your artists tell them anything?**
A: No. Adding, importing, and watching are all silent. The person is never notified, and none of them starts tracking. Only messages, invites, and broadcasts reach anyone.

**Q: What's the difference between the Watchlist and a list?**
A: The Watchlist is one private mark per record, toggled by the heart next to a name, and it has its own segment. A list is a named group you build and can export, share a filter for, or broadcast to. Neither is visible to the artist.

**Q: Why are arts professionals in a surface called Your artists?**
A: The records have always been person-keyed, so curators, jurors, and administrators were already in the list. There is now an Arts professionals segment so you can ask for them.

**Q: How do I get a list of applicants out of Artsume?**
A: Add them to a list, open the list, and use Export list. That's the product's one export of other people's data, and it's part of Artsume Intelligence. There's no export button on the Applications page.

**Q: Do I have to import my past applicants?**
A: No. An application links its applicant to your list on its own. The import dialog covers files and Airtable, for artists Artsume doesn't know about yet.
