Setting up your organization
Get your organization onto Artsume: claim or create a listing, run the three-step setup, edit your public profile, invite your team, and set up billing.
An organization on Artsume is where you post programs, review applications, and keep track of the artists you work with. Setting one up takes a few minutes. You find or create your listing, run a short setup, then edit your public profile and your settings.
Create your organization
Open the account card at the bottom of your left rail, select Switch account, and choose Create organization. If you signed up to run an organization, you land in the setup directly.
Artsume is search-first, so the first screen checks whether your organization is already listed.
Search first
The prompt reads "Does your organization already exist on Artsume?" Type your organization's name. Matching listings appear as you type, each tagged Claimable or Claimed. Many organizations already have a listing that artists have referenced. Claim that one instead of adding a second.
You have three paths:
- Claim an unclaimed listing. Select a listing tagged Claimable. Artsume verifies you one of three ways: instantly, when you sign in with an email at the organization's own web domain; with a six-digit code sent to the organization's contact email; or through a short ownership form that the Artsume team reviews.
- Request to join a claimed listing. Select a listing someone already manages to send a join request. An existing admin reviews it and sets your role.
- Create a new listing. Choose "Create [name] as a new organization" from the results, or select Skip — create a new organization.
The setup
Setup is three steps. The button at the bottom of each one reads Continue, except on the last step once you have added an invite, where it reads Send invites & continue.
- Set up your organization. Add a logo (optional), your organization name, your URL slug, your organization type, your location, and your website. The slug fills in from your name and becomes your address on Artsume. You can edit it, and Artsume checks that it is free before you continue.
- What do you offer? Pick the kinds of programs you run from the chips (residency, grant, exhibition, commission, open call, fellowship, Prize/award, job), write a short mission, and pick your team size. Your organization is created when you leave this step.
- Invite your team. Add teammate emails with a role each, then select Send invites & continue, or Skip for now and invite people later.
If you do not already have an artist profile, a fourth step asks for your role at the organization so it lands on your CV. You finish on a screen headed "{Your organization} is live on Artsume", which links to your new organization.
A logo is optional at every step. Without one, Artsume prints your organization's initials as a monogram, in the same square everywhere your logo would appear.

Your slug is your handle
The URL slug doubles as your organization's handle. You can change it later under Settings → Handle, but only once every 30 days, and old links stop working. Pick something you can live with.
Your organization's plan
New organizations start on Artsume Network, the free plan. There is no cap on the programs you post or the size of your team. The only cost is a platform fee on applications that charge an entry fee. Artsume Intelligence is the paid upgrade. You can upgrade any time from Settings → Billing.

Edit your public profile
Your profile is what artists see when they visit your organization's page. Owners and admins open it from the Profile tab in the left rail. Select the camera button on your logo or cover image, or the Edit button on a section, and the Edit profile dialog opens with three sections:
- Card: your logo, cover image, organization name, organization type, short description, year founded, and custom color. The custom color draws your profile card's border. Pick a preset swatch or type a hex code.
- About: the longer description of what your organization does.
- Location & contact: your address, phone, email, website, and social links.
Partner organizations are managed separately, from the Related organizations section of the profile page.
Make your description concrete. "We fund emerging painters through a six-month studio residency" tells an artist more than a sentence about excellence.
Configure your settings
Settings open in a dialog over your current screen, so you never lose your place. Select the gear near the bottom of your organization's left rail. The nine sections, in the order they appear:
- Sharing: your public profile link and an embed button for your own site
- Team & roles: invite members, set roles, manage reviewer pools, and approve join requests
- Notifications: which alerts you receive about applications, reviews, and organization activity
- Decision letters: your default accept, waitlist, and decline letter templates
- Accessibility: your accessibility overview and the accommodations you provide, which you can copy into individual programs
- Payments: connect Stripe to collect entry fees and receive payouts
- Reporting: reporting defaults, like the month your fiscal year starts
- Billing: your plan, either Artsume Network or Artsume Intelligence
- Handle: change the slug in your URLs
Billing and Payments are different sections
Billing is about your Artsume plan: staying on Artsume Network or upgrading to Artsume Intelligence. Only owners and admins can manage it. Payments is about money flowing the other way: connecting Stripe so you can charge entry fees and receive payouts.
Invite your team
Open Settings → Team & roles, select Invite member, enter an email address, choose a role, and select Send invite. The recipient accepts by signing up or logging in. There are four roles:
- Owner. Full access to everything, including transferring ownership.
- Admin. Manage the team, programs, and settings. Only an admin or the owner can edit the public profile.
- Staff. Create and manage programs, and work the artist roster.
- Reviewer. Review applications only. A reviewer sees one row in the rail.
